Expirations and missing items report for a social services agency: CPR cards, performance evaluations and an auto insurance policy overdue, items missing for recent hires, and everything due in the next 60 days, with counts for current, exempt and not required

Built for any organization whose people hold credentials that expire. Your organization can export its data at any time.

Who it is for

For any team whose people hold credentials that expire

If a lapsed license or an out-of-date certificate would be a problem for you, a client or a regulator, Personnel Ledger keeps track of it.

Home health and home care

Nursing licenses, aide training and in-service hours, background checks and the documents behind them, for staff who work in clients' homes.

Clinics and therapy practices

Professional licenses, DEA registrations, CPR and BLS cards and liability certificates, each with its own expiration date and reminder.

Staffing agencies

The credentials of everyone you place, kept current and printable when a client asks to see a file.

Any employer with licensed roles

Counselors, drivers, security staff, technicians and trainers. If a role needs a credential, the role can carry the requirement.

What it tracks

The whole credential file, not just the dates

Each requirement knows who needs it, how it renews and what proves it.

Licenses and certifications

License numbers, issuing states and expiration dates, plus certificates and cards such as CPR, BLS and first aid.

Training and hours

Training sessions with their topic and hours, counted against a yearly target for the roles that have one.

Background checks and screening

The date each check was obtained and what it covered. Organizations that bill Medicare or Medicaid can keep a monthly exclusion screening log as well.

Documents

Upload the card, certificate or report to the requirement it proves, so the evidence sits next to the date.

Reminders and a weekly digest

An email to the person before an item expires, and one weekly email to each manager listing what is due or overdue for their team.

A printable file

Print one person's file, or a set of files, with every requirement, its status and its dates.

Built around your roles

Set it up the way your credentials actually work

Roles carry the requirements

A nurse, a driver and an office manager each see only what their role needs. Someone with two roles gets the requirements of both.

Renewal rules that fit

Expires on the date printed on it, repeats every so many months, counts hours over a period, or happens once.

Exempt, with a reason

A counselor who never drives for work is exempt from the driver's license, and the file says why instead of showing a gap.

Verification beside the date

Record when and where a license was verified, such as the licensing board's online lookup, and who checked it.

FAQ

Staff credential tracking, answered

What counts as a credential in Personnel Ledger?

Anything with a date that shows someone can do their job: a professional license, a certification card such as CPR or first aid, a background check, a training course, an insurance certificate or a signed agreement. Each one is a requirement with its own renewal rule.

How far ahead do expiration reminders go out?

You choose, requirement by requirement. A license that takes weeks to renew can warn earlier than a card renewed in an afternoon. Reminders go by email to the person, and managers see everything due in their weekly digest.

What happens to the old date when a license is renewed?

It stays in the person's history. The new record goes on top, so the file shows the current license and every earlier one.

Can one person hold more than one role?

Yes. Give someone every role they work in, and they get the requirements that come with each.

Can we record how a license was verified?

Yes. Each record can carry the date it was verified, where it was checked, such as the licensing board's lookup, and who checked it.

Can we start small and add credentials later?

Yes. Add a requirement at any time and the people it applies to show as due, so you can begin with licenses and add training or screening when you are ready.

This page is general information, not legal advice. Which credentials your staff need depends on your field, your state, your licensing boards and your contracts. Confirm your specific obligations with them.
